Privacy Policy
Last updated: 28 July 2026
1. Introduction
CyberOne Automation ("we", "us", "our") is operated by CyberOne Partners LLC. We provide AI receptionist services, website design and business automation to businesses in Australia. This policy explains, in plain English, what personal information we collect through www.cyberoneautomation.com.au and our services, how we use it, who we share it with and the choices you have.
We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). By using our website or services you agree to this policy.
2. Information we collect
- Contact details you give us: name, business name, email address, phone number and anything you write in a contact, demo or enquiry form.
- Enquiry metadata: the page you submitted from, and the date and time of your submission.
- Call information: where we operate an AI receptionist for a client, this can include caller phone numbers, call recordings, transcripts, appointment details and call summaries.
- Technical information: IP address, browser and device type, referring page and pages viewed, collected automatically when you visit the site.
- Client account information: billing contacts, service configuration and support correspondence.
We do not deliberately collect sensitive information (such as health or financial details). Please don't include sensitive information in forms or messages unless we have asked for it.
3. How we use personal information
- To respond to your enquiry, arrange a demo and provide quotes.
- To deliver, configure and support the services you have engaged us for.
- To answer, route, qualify and summarise calls where we provide AI receptionist services.
- To improve the accuracy and quality of our services, including reviewing call transcripts.
- To send service updates, invoices and administrative messages.
- To meet our legal, tax and record-keeping obligations.
Where we handle personal information on behalf of a client (for example, their callers' details), we act on that client's instructions and their own privacy policy also applies.
4. Cookies and analytics
Our website uses a small number of cookies and similar technologies that are needed for the site to function and to understand how it is used — for example, which pages are visited and how people reach us. This information is aggregated and is not used to identify you personally. You can block or delete cookies in your browser settings, though some parts of the site may not work as intended.
5. Marketing communications
We may send you occasional emails about our services if you have enquired with us or are a client. Every marketing email includes an unsubscribe link, and you can opt out at any time by emailing hello@cyberoneautomation.com.au. We do not sell, rent or trade your personal information.
6. Third-party service providers
We use trusted providers to run our website and services. Each only receives the information needed to perform its function:
- Google Workspace — business email and document storage for correspondence with you.
- Vercel — website hosting and delivery, which processes standard server and request logs.
- Resend — delivery of enquiry and form notification emails to our team.
- Twilio — telephony and phone number provisioning for AI receptionist call handling and SMS.
- Vapi — voice AI processing, including real-time speech, transcripts and call summaries.
- Lovable — the platform used to build and host parts of this website.
Some of these providers store or process data on servers outside Australia, including in the United States. We take reasonable steps to ensure they handle personal information consistently with Australian privacy law. We may also disclose information where required by law.
7. Data security
Our website is served over encrypted HTTPS connections and access to systems holding personal information is restricted to people who need it, protected by strong authentication. We keep personal information only for as long as it is needed for the purpose it was collected, or as required by law, and then delete or de-identify it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your rights
- Ask for a copy of the personal information we hold about you.
- Ask us to correct information that is inaccurate or out of date.
- Ask us to delete information where we are not required to keep it.
- Opt out of marketing communications at any time.
- Make a complaint if you believe we have mishandled your information.
Email us to make a request and we will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
